Time Off (PTO)

The Time Off tab records when people are unavailable so the scheduler skips them. There's one type of entry: PTO (vacation).

How it affects scheduling

When you Generate, Regenerate, or Rebalance, the app won't put someone on call during a week that overlaps their PTO. If a conflict somehow exists (for example PTO was added after the schedule was built), it shows up in the Needs attention panel on the Schedule screen — fix it with Regenerate or a swap.

Adding time off (editors/admins)

  1. Click Add (or Add time off).
  2. Choose the person.
  3. Choose the start and end dates.
  4. Save.

The range is inclusive — both the start and end days count as off.

Editing or deleting

Use Edit or Delete on any entry to correct or remove it.

Archived (past) time off

Once an entry's end date has passed, it moves into an Archived popup so the main list only shows current and upcoming time off. You can open the archive and filter it by year if you need to look something up.

Automatic cleanup

Time-off entries older than 7 years are deleted automatically (this happens quietly when the page loads) to keep the database tidy. You don't need to do anything.
